Brief Position Summary:

Creates, maintains, and ensures integrity of academic records for the Schools. Develops, advises, and contributes to the development and enforcement of academic policies for the Schools. Manages registration and student records activities among the College and the Schools, analyzing and responding to time-sensitive technical support, set up, and student data needs.

Essential Functions:
Offer is contingent upon successful completion of a criminal background check.

Responsible for maintaining the integrity and accuracy of academic records for the Middlebury Schools. Develops efficient registration systems and procedures for the Schools. Manages registration and add/drop for the Schools. Manages and maintains Banner course catalog and schedule for all Language Schools, Schools Abroad, and School of the Environment courses.

Interprets, implements, and advises on current academic policies, and participates in the development of new policies and initiatives, for the Middlebury Schools, consistent with the Registrars Office mission to promote effective academic standards as they relate to curriculum, educational records, reporting, and graduation requirements.

Coordinates and oversees data-driven events with regard to student, academic, and course records to accurately define, conduct, and oversee Beginning of Term and End of Term Banner processes. This pertains to setting up registration, housing rate codes, and fee assessment as well as rolling term data for catalog and schedule course information, and posting final grades and awarded degrees for each term and school.

Monitors undergraduate, Bread Loaf, and Language Schools web registrations in real-time to ensure proper functioning of the system, includes coordinating registration monitoring with information technology staff and Ellucian.

Approves and records all transfer of credit for Language Schools and Bread Loaf School of English degree students.
Coordinates final grades collection and entry for the Schools.

Certifies the completion of degree requirements for Master of Arts, Master of Letters, and Doctor of Modern Languages graduates.

Orders student and honorary degree diplomas for the Schools. Collaborates with Language Schools administration on commencement program. Updates and distributes Masters degree questionnaire and manages collection of commencement-related data.

Responsible for all student records for the American Collegiate Consortium, including the processing of ACC student transcripts.

Supervises lineup of graduate degree candidates and prepares reading list for Language Schools commencement ceremony. Organizes and distributes diplomas at Language Schools commencement ceremony.

Serves as a member the Language Schools Senior Staff, at the discretion of the dean of Language Schools.

Participates in Language Schools coordinators weekly meetings.

General Responsibilities:
Oversees converting and recording of Middlebury/Institute credit for degree-seeking students following each schools credit system.

Assists with undergraduate commencement activities and undergraduate course data entry.

Performs other related responsibilities as requested.

Some weekend and evening hours are required in the summer to support registration and commencement.

Education:
Bachelors degree required. Masters degree preferred.

Knowledge:
Excellent interpersonal skills in order to interact with a wide range of faculty, students, colleagues, and external audiences.

Experience with student information systems, Banner strongly preferred.

Demonstrated ability to develop and contribute to best practices and solutions.

Superior organizational skills, attention to detail, and ability to prioritize and manage critical, time-sensitive work and decisions.

In depth knowledge of the Middlebury Schools academic policies preferred.

Strong skills in advanced use of Microsoft Office Suite (Word, Excel, PowerPoint). Excellent written communication skills.

Ability to work independently and as a member of a team, in a fast-paced environment.

Experience:
7+ years experience in the administration of academic records.
