Part-time Office Assistant

Position Summary: In cooperation with the Neillsville Academic Services Center, responsible for providing customer/student service and receptionist services, providing general clerical support, and performing related assignments. This position must be able to function independently and in concert with other College locations. The position reports to the Chippewa Falls Campus Administrator.

Responsibilities/Expectations/Accountability/Duties:
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
• Demonstrates commitment to customer service standards.
• Serve as the first point of contact for telephone, walk-in, and on-line customers for the following Student Services functions: Academic Records, Admissions, Assessment and Counseling, Customer Follow-Up, Financial Aid, General College Information, Business and Industry Training, Registration.
• Provide clerical support for continuing education courses, Group Dynamics, Traffic Safety School, etc.
• Office receptionist.
• Room reservations/billings, room technology support, set up functions for CVTC and outside groups. Knowledge of media and troubleshooting over the telephone with IT Dept.
• Provide assistance in the area of grants (support/billing/reporting/certification).
• Provides general clerical support, manage mail, preparing various materials utilizing word processing, spreadsheet, PowerPoint, and database software (BANNER).
• Prepares packets for students and instructors.
• Resolves duplicate student identification numbers with Registrar’s Office
• Provide Live Meeting support to students and staff.
• Monitor timely snow removal and maintenance in accordance with College safety requirements
• Maintains supplies for office area and general classroom/lab use.
• Maintain coin copiers and petty cash.
• Administers COMPASS when Academic Service Center not open
• Other duties as assigned.
• Relate successfully with students and staff of diverse cultural, social or educational backgrounds
• May direct activities of work study students

Necessary Knowledge, Skills and Abilities:
• Ability to communicate effectively with College staff and students, external customers, and the general public verbally and in writing using proper English grammar, usage, and spelling.
• Experience in providing superior customer service.
• Ability to provide accurate information in a courteous, friendly, concise, and approachable manner.
• Ability to adjust communication techniques to serve diverse populations.
• Ability to relate successfully with students and staff of diverse cultural, social or educational backgrounds.
• Ability to use judgment, discretion, and decision making skills in dealing with confidential and sensitive issues.
• Ability to adhere to College policies and procedures.
• Basic knowledge of general office policy and procedures.
• Ability to perform general keyboarding with a minimum of 40 gross words per minute and a minimum of 95% accuracy.
• Proficiency in word processing, spreadsheet, and database software. Microsoft Office Suite preferred.
• Experience in the operation of office machines such as copiers and scanners.
• Ability to learn College organization, policies, and procedures related to position.
• Ability to work independently and as a team member.
• Ability to deal with and manage conflict.
• Ability to problem solve by questioning, organizing, researching, analyzing, processing and interpreting information.
• Experience in a challenging, high volume, multitasking environment.
• Ability to work nonstandard hours as necessary.
• Employment at CVTC is contingent upon successful background check(s).

Necessary Training and Experience:
• One-year technical diploma in Office Specialist or related field.
• More than two years’ experience in a customer service or professional office setting.
• Or comparable combination of experience and education to prove competencies in the knowledge, skills, and abilities listed.
• In evaluating candidates for this position, the College may consider a combination of education, training, and experience that provides the necessary knowledge, skills, and abilities to perform the duties of the position.

Position Details
Expected Start Date: As soon as possible

Position Status: Part-time, non –union position working year round

Location: This position is located at the Neillsville Center.

Work Hours: Part-time, non-union position working 17.5 or less hours per week. Work schedule anticipated to include 7:30-4 Thursday and Friday with evening hours and sporadic office coverage as needed. This position is customer-focused and will require the ability to adjust hours as necessary to meet customer needs.

Salary: The hourly rate for this position is $14.76 based upon Pay Grade F, Step 1 of the 2009-2010 Staff and Clerical Federation Salary Schedule.
