The Assistant Director will provide staff support to several alumni clubs and Reunion, offer several Signature Programs nationally, and oversee undergraduate transition programs. Other general responsibilities include: 1. Represent alumni concerns to members of the University. 2. Travel as required to recruit, train, and cultivate volunteers. Staff alumni office and university relations events as required. 3. Assist Director in development and execution of Alumni Office strategic plan. 4. Additional projects as assigned.

Essential Functions: 1. Support Reunion programming and planning.
a. Organize Reunion College which includes soliciting presenters for a minimum of 50 sessions with varied, educational topics which include sessions focused on University initiatives.
b. Coordinate development of all printed materials, programs, etc.
c. Contract with childcare provider and coordinate logistics involved in the program.
d. Research products for regalia, select vendors, and order merchandise.
e. Expand statistical analysis of reunion programs. Analyze peer school programs for cost and programming benchmarks.
2. Provide staff support for various alumni club regions for on-going annual programming.
a. Maintain communication with assigned club volunteers.
b. Provide volunteer leadership training on and off campus.
c. Coordinate all of the operational procedures involved with district club announcements and invitations: writing, designing, printing and mailing.
d. Work closely with volunteers to provide innovative program ideas for the district clubs.
e. Coordinate staff, faculty, and administrative visits with our district clubs and follow up with appropriate briefings. Act as liaison with faculty chairs to recruit and encourage faculty involvement in alumni club events.
f. Provide programmatic support for district clubs as necessary to ensure the success of an event. This includes contacting venues, arranging for entertainment/audio visual/catering, calling local alumni to encourage attendance, etc.
3. Support part of department Signature Program Model, and assist with the following components for medium, small and gateway clubs:
a. Send-Offs
b. Presidential Events
4. Undergraduate liaison from Alumni Affairs
a. Assist with planning for First-Year Orientation; run t-shirt toss and order t-shirts.
b. Plan Senior Class Brunch, working closely with the Dean of the College office and the Senior Class Council.
c. Oversee class ring program.
5. Women at Colgate (WAC)
a. Provide staff support for the Women at Colgate organization.
b. Work with Director and WAC leadership to set programs for the year.
c. Provide logistical support for all events and programs.
d. Promote succession planning within the organization and work to identify and recruit new volunteers.
6. Staff Alumni Council committee meetings and General Session.
Requirements:
Bachelor's degree preferred. Familiarity with Colgate University and its alumni community are preferred. Experience in institutional advancement or related experience helpful. Must possess strong interpersonal and communication skills, be well organized, detail oriented and able to work independently. Proficiency and skills with computer technology required. Must be able to travel and work evenings and weekends when needed. Must be capable of working collegially with a diverse group of constituents on a daily basis.
