Position Requirements:
2 years of relevant work experience in a professional office setting or the equivalent in experience or training. Strong organizational, communication and customer service skills. Experience with Word, spreadsheets and database management applications highly desirable.

Description:
The Facilities Coordinator is responsible for providing administrative and field support to Housing & Dining Programs by overseeing the day-to-day operations of the residence hall physical facilities. This position has some decision-making authority within an established set of policies and parameters.

Detailed Job Duties:

Facilities Management and Coordination
Oversees and manages the day to day operations of the residence halls.
Assists with planning renovations, maintenance and/or repair projects to ensure the residence halls are well maintained.
Works closely with appropriate staff, students and external agents in planning, scheduling, and implementing work flow in order to provide quality assurance and excellent levels of communication.
Coordinates follow-up on all work requests and outstanding work orders.
Initiates communication with campus partners to ensure timely facilities response.
Serves as liaison to Facilities Management, Housekeeping, and external contractors.
Chairs weekly and bi-weekly facilities meetings with appropriate staff.
Coordinates vandalism reporting to Resident Directors and Assistant Directors; assists with student billing; ensures accurate measures are taken to address vandalism issues.
Maintains, produces, and/or distributes facilities management related records, materials and reports.
Takes a hands on approach to completing tasks.

Staff Supervision
Directs the recruitment, selection, scheduling, training and supervision of the Residence Maintenance Crew staff.
Maintains a well-trained, efficient and utilized RMC staff.
Coordinates daily RMC work flow, including work order initiation/completion, lounge set-ups, and the delegation of weekly hall inspections of the residence halls.
Directly supervises 15 RMCs and provides direction regarding specific tasks as well as larger projects.

Inventory and Contract Management
Assists with management and control of all inventories to ensure proper levels; including central RMC supply, individual hall RMC stock, and all general residence hall furnishings and equipment.
Responsible for maintaining appropriate vendor/supplier contacts and product/service information, including costs, warranties and service agreements
Coordinates contracting with, and services of, external vendors who provide services to on-campus facilities: laundry, furniture storage, rental vendors, etc.
Streamlines and manages all residence hall key processes and procedures, including key ordering, tracking and billing.

Other Projects and Office Responsibilities
Processes and maintains purchasing and billing paperwork for product and service acquisition to keep paperwork and records up to date.
Helps maintain all office equipment
Coordinates and communicates all necessary repairs and preventative maintenance in departmental office.
Participates in the One Card office coverage schedule as needed.
Other duties as assigned.

The Facilities Coordinator is a full-time position (35 hours per week). May require non-traditional hours during peak operational periods.

Housing & Dining Programs is one of fifteen administrative units in the Office of Campus Life. The Facilities Coordinator reports to the Assistant Director of Operations: One Card & Facilities and works directly with all full time staff members in Housing & Dining Programs.
