ADMINISTRATIVE SUPPORT SPECIALIST - JOURNEY

Job Description: The selected candidate will serve as Administrative Support Specialist for the Department of Public Health. Duties of this position include the following: composing and drafting memos, letters, correspondence, and meeting agendas, composing and organizing ideas logically, working in multiple formats such as letters, memos, reports or presentations, and changing/adjusting style to meet the needs of the program and audience while presenting full, accurate information in reports; reviewing sensitive materials and editing content constructively, keeping information confidential and safe; keeping student records, courses, grades, and competencies, providing student and departmental reports as needed; maintaining student and program files, scheduling meetings and events. Public contact is a big part of this position. The selected candidate will assist students and individuals interested in the MPH Program, as well as work with faculty of the MPH Program and other university faculty and staff regarding the student admission process. It is essential that the selected candidate be able to present ideas clearly, concisely, and in an organized, appropriate manner. Professionalism is essential. The selected candidate will be expected to understand/follow procedures consistently, control flow of information through the office, and demonstrate in-depth knowledge of the program and area of specialization. This position coordinates varied records processing activities requiring the application and some interpretation of agency procedures, policies, laws, and regulations; reviews information for completeness and accuracy using multiple guidelines; explains and interprets programs, policies, and procedures to meet the specific needs of staff and clients; and advises program staff/clients in all matters related to program operations. The selected candidate will be expected to select, understand, and fully apply a variety of features in software programs, databases, information systems, and specialized equipment and to use office equipment such as computer, copying and printing equipment, and fax machine. This position handles work orders, and uses Xtender, INB, and ecuBIC software/sites extensively. The position also makes purchases for department.


Minimum Qualifications: High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.


Special Instructions to Applicants: This position is subject to the Career Banding Salary Administration Plan. If candidates are not identified at the Journey level, management may consider candidates at a lower competency level. Pay will be commensurate with applicant's competencies as well as budget, equity, and market considerations.

Salary Grade Equivalent: 61 (for reduction-in-force priority purposes only)
