Job Description: The employee in this position will be required to manage the many and varied activities of the Center for Sustainable Tourism (CST) office. The selected candidate will be responsible for assembling, publishing, and distributing documents, proposals, and office files as instructed; preparing and receiving mail, email, and related correspondence as needed and confirming appropriate distribution and delivery to the correct person; managing the recruitment process and supervising student assistants; and preparing correspondence and reports, which will include composing memorandum, letters, flyers, brochures, and reports. The selected candidate will be expected to compose materials with a minimum of direction and guidance. The CST must have a functioning up-to-date web site at all times, and the selected candidate will be responsible for maintaining the site by posting new working papers and updating content in the site and providing input into creative positioning and presentation of materials and information.
The selected candidate will interact with a wide array of individuals ranging from employees of business and government to research scientists to faculty, staff, students, and administrators. The selected candidate will be expected to be familiar with the Center's initiatives and able to answer questions and describe initiative purposes and activities. The selected candidate will also arrange and coordinate the schedules of the Director and Associate Director, including any travel arrangements; develop promotional materials, proofread documents, and edit presentation materials; and perform duties associated with committee meeting management such as scheduling and coordinating meeting resources, coordinating and organizing meeting room set-up and related materials as needed, copying and distributing information to members of the committee, and taking minutes. The selected candidate will research potential external grant opportunities and maintain a schedule of grant deadlines and work with individual faculty or faculty groups in preparing and processing grant applications and promoting success on behalf of the Center in securing and effectively administering grants and contracts. The selected candidate will be expected to assist in creating an environment at the Center that supports involvement and ultimately the academic success of graduate students.
It is essential that candidates possess the ability to manage the paperwork necessary to effectively conduct graduate course offerings and a graduate program and to communicate effectively with students and faculty. This would include working with the Associate Director and with faculty - advising, teaching, and conducting research with students to ensure their full involvement and success. Candidates should be able to manage and communicate in a manner that ensures the successful recruitment, review, selection, and notification of graduate students and able to manage a system that ensures regular and ongoing communication. Candidates should be well acquainted with Banner Finance, Banner HR, PORT, Pro-Card use, etc.
Minimum Qualifications: High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Special Instructions to Applicants: This position is subject to the Career Banding Salary Administration Plan. If candidates are not identified at the Journey level, management may consider candidates at a lower competency level. Pay will be commensurate with applicant's competencies as well as budget, equity, and market considerations.
Salary Grade Equivalent: 59 (for reduction-in-force priority purposes only)
